Effective Sunday, December 10th, 2017:
Employers now have the option to send custom rejection messages to rejected candidates. We have added the ability to create business custom rejection templates and send these messages whenever a hiring manager sends a candidate in to the ‘Skip’ column of the sourcing process. As part of this feature, employers will be able to create their own messages, insert dynamic parameters into the message (to update the data based on the selected candidate info), and create these messages on the enterprise level.
A Rejection Template can be created on the Parent level and applied to all Child locations.
To create a Rejection Template, please follow these steps:
Step 1: Please contact your Customer Success Manager or contact Harri Support and ask them to enable this service for you.
Step 2: Once this has been done, open up the Parent-Level Brand Settings. There is now a option called ‘Rejection Templates.’
Step 3: You will see all rejection templates that have been created, and you’ll have the ability to edit or delete them. To create a new rejection template, click ‘Create a new rejection template’. You will then be presented with the box below:
Step 4: Add in a relevant title and subject line. On the right hand side, various Smart Fields are available, which will pull in relevant information automatically. These can be used in the subject line and the message body. To use a Smart Field, enter the ’@’ sign and start typing - you will then be presented with options to choose from. Then, click on the Smart Field you would like to use (example shown above).
Step 5: Once you have crafted your message, you can then choose whether you would like to attach a document, and set the delay time in which the message will be sent to the candidate (in the example above, the delay is set for 24 hours). You have now built the template and can press ‘Save.’
Step 6: You will then be taken back to the main page. You can copy these templates to all child locations by clicking on ‘Apply to Child Locations.’ These will become the default templates.
To send a Rejection Template, please follow these steps:
Step 1: When it comes to choosing rejection templates, you will see this option when you press the red ‘skip’ button on an applicant’s card. You can select multiple applicants if you know you are sending them the same message.Step 2: A pop up will appear, at which time you will be able to choose the template you’d like to use.
Step 3: Once selected, you will be able to make any final amendments before sending it out (as shown below), as long as you are on the PARENT level.Step 4: If the user is on the CHILD location, the message will be locked and they will only be able to select the template (not edit it), as shown below:Step 5: Once the message has been sent, the candidate will be moved to the ‘Skipped’ column. Please note: there may be a delay in the candidate receiving the message, depending on whether or not a delay time was added (covered in Part 1: How to create a rejection template). The rejection message sent to an applicant is stored on their card in the chat section (see below):
